STUDENT RECORDS
Western Wayne Schools (“Corporation”) shall follow all state and federal rules and regulations regarding the release or retention of education records. Education records consist of all official records, files, and data directly related to a student and maintained by the school. Such records
encompass all the material kept in the student’s cumulative folder and include general identifying data, records of attendance and of academic work completed, records of achievement, results of evaluative tests, health data, and disciplinary records. Education records are the property of the Corporation.
The Corporation may release certain "directory information" without consent, which means information contained in an education record of a student that would not generally be considered harmful or an invasion of privacy if disclosed and which includes, but is not limited to:
● Student's name
● Age
● Address
● Telephone listing
● Electronic mail address
● Photograph
● Date and place of birth
● Major field of study
● Dates of attendance
● Grade level
● Participation in officially recognized activities and sports
● Weight and height of members of athletic teams
● Degrees, honors, and awards received
● The most recent educational agency or institution attended
● Student ID number, user ID, or other unique personal identifier used to communicate in electronic systems or displayed on a student ID badge
● Photograph or videotape of the student taken during school activities to be used on Western Wayne Schools’ website(s) or social media accounts, publications (such as newsletter or brochures), or media coverage of school day activities (such as newspapers or television). Students shall not be identified by full name in the photographs unless express parental consent has been received in advance.
School assigned email accounts are designated as "directory information" for the limited purpose of facilitating students' registration for access to various online educational services, including mobile applications/apps that will be utilized by the student for educational purposes.
Parents of a student less than eighteen years of age or of a student who is at least eighteen years of age desiring to object to the disclosure of directory information should submit in writing a denial of permission to release directory information to the building principal. The “opt-out”
denial must be submitted within fourteen calendar days from the beginning of the school year, or if the student enrolls after the start of the school year, within fourteen calendar days from the beginning of their enrollment.
Student medical records resulting from participation in school-based treatment services or treatment services provided by an outside professional care provider contracted and paid for by the school are considered private. The Corporation must not share any reports or notes resulting from school-based treatment services with other school officials. Additionally, the Corporation will not maintain any reports, notes, diagnosis, or appointments resulting from a student’s participation in outside treatment as described in this Policy in the student’s permanent educational file.
The Board authorized the Superintendent/designee to set forth guidelines for the implementation of this policy.
